JOB SUMMARY

The Senior Production and Operations Support Coordinator will oversee the operational workflow for Via, AAA Mountain West Group’s (MWG) owned media channels, which include a print magazine, digital content, and a podcast. This role serves as a brand ambassador, managing essential relationships across editorial, advertising, and production to ensure content is delivered on time and on budget. The successful candidate will represent the MWG and Via brands in professional settings, including industry events and trade shows, while executing complex tasks with high autonomy.

RESPONSIBILITIES / JOB DUTIES

  • Production Operations:
    • Synchronize production calendars, asset trackers, and content inventory systems across print, digital, and podcast channels.
    • Own the vendor and contractor onboarding process from initial set-up and compliance to financial payment.
    • Process and track all invoices for editorial, design, advertising, and production to ensure timely payment.
    • Manage digital file production, ensuring version control and accessibility for internal teams.
  • Editorial & Design:
    • Work directly with the editorial team and content production logistics, assisting the Managing Editor in stewarding content progress from draft to publication.
    • Build landing and article pages using the proprietary content management system.
    • Manage the Member Stories program by creating and launching Logiforms for Member questions.
    • Own the email production schedule, book recurring house ads and email KPI tracking.
  • Advertising & Stakeholder Relations:
    • Manage advertising operations and sales support
    • Optimize creative workflows by managing end-to-end print and digital artwork approvals.
    • Represent the Via brand at trade shows and industry events; manage on-site logistics, stakeholder engagement, and magazine fulfillment for Members and advertisers.
    • Independently serve as the operational liaison for outside sales representatives, generating reports and preparing professional collateral that aligns with MWG brand standards.

KNOWLEDGE AND SKILLS

  • Excellent written and verbal communication skills.
  • Demonstrated ability to manage multiple projects and competing deadlines with minimal supervision, exercising sound judgment and independence in administrative tasks.
  • Strong proficiency in Google Workspace and working knowledge of Adobe Creative Cloud (preferred).
  • Proficiency with content management systems and understanding of production workflows to track progress.
  • Proven ability to independently cultivate and manage professional relationships with external partners, vendors, and advertisers while serving as a cross-functional liaison

EDUCATION, COMPETENCIES, CERTIFICATIONS/LICENSES

  • Minimum Requirements:
    • High School Diploma plus 4-6 years experience in an administrative, production, or coordinator role within a publishing, media, or marketing environment.
  • Preferred Requirements:
    • Bachelor's degree preferred in Communications, Marketing, Journalism, or a related field
